7. Using the SafeQuard PDF Mailing Service

This feature allows you to protect multiple PDF files simultaneously by uploading a single CSV manifest file.

7.1. Feature Overview

This function is designed for batch processing. You provide a list of recipients and the corresponding PDF files, and the system applies the configured protection (encryption, watermarking, etc.) in one operation.

Workflow:

  1. Prepare a CSV file with the required format.

  2. Prepare all PDF files you wish to upload.

  3. Upload the CSV file and all PDFs together in a single session.

  4. The system processes the files and confirms the operation.

7.2. CSV File Format

The CSV file must be formatted exactly as described below. Incorrect formatting will cause the upload to fail.

Important

  • The header row must be exactly name,email,filename.

  • The filename must exactly match the name of the PDF you are uploading (including case sensitivity).

7.3. Uploading Files

Navigate to the Mass Mailing PDF Sender.

  1. Upload Manifest CSV file and PDF files.

  2. In the file dialog, select your prepared CSV file and all PDF files referenced in the CSV.

  3. Enter your Email Subject for the email to be sent. (This field is required)

  4. Enter your Email Message.

    Tip

    • You can select multiple files by holding Ctrl (Windows) or Cmd (Mac) while clicking.

    • You can use $name to reference the name in CSV file, so email would address to the recipient.

  5. The system will validate the CSV format and check that all referenced PDFs are present in the upload batch.

  6. Click “Start Processing” to start the batch operation.

7.4. Processing & Confirmation

After clicking “Start Processing”, the system will:

  1. Validate the CSV structure.

  2. Match each CSV row with the uploaded PDF by filename.

  3. Apply the protection to each PDF.

  4. Display a summary of successfully processed files and any errors encountered (e.g., file not found, invalid email format).

Note

The original PDFs are not modified. Uploaded PDFs will be deleted after being sent out.

7.5. Important Notes & Restrictions

  • File Size Limits: Each PDF must be under 20 MB. Total batch size (CSV + all PDFs) must not exceed 500 MB.

  • Supported PDFs: Only standard, non-password-protected PDF files are supported.

  • Processing Time: Large batches may take several minutes to complete. Do not close the browser tab during processing.
